1. Overview

RecProTech AI ("RecProTech AI," "we," "us," and "our") operates Eagle Coach, a booking, CRM, and client-communication platform built for golf teaching professionals and their businesses (the "Platform"). We respect your privacy and are committed to protecting it through compliance with this Privacy Policy.

This Privacy Policy explains how we collect and use your Personal Information when you visit our website at https://www.eagle-coach.com, subscribe to Eagle Coach, communicate with us, or when we otherwise process your Personal Information, except as described below regarding our role as a processor.

Two different relationships. It is important to understand the two distinct ways we handle data:

  • When you are our customer (for example, a golf professional, coach, academy, or business that subscribes to Eagle Coach, or a visitor to our website), we act as the controller of your Personal Information, and this Privacy Policy applies.
  • When you are a student, client, or contact of one of our customers, your information is handled inside an Eagle Coach account that belongs to that customer. Our customers use Eagle Coach to run their own coaching businesses — to take bookings, manage their student lists, send appointment and no-show reminders, re-engage lapsed students, request reviews, and otherwise communicate with the people they serve. In these cases we act as a processor (service provider) on behalf of that customer (the "Processor Services"). When you give your data to one of our customers, or we collect it on their behalf, that customer's own privacy notice — not this one — governs how your information is handled. If you are a student or client and want to access, correct, or delete your information, please contact the coach or business you booked with directly.

Please read this Privacy Policy carefully. If you do not agree with our policies and practices, do not use the Platform. By accessing or using the Platform, you agree to this Privacy Policy.

2. Information We Collect About You

We collect information about you ("Personal Information") in the following ways:

Directly from you. When you create an account, subscribe to Eagle Coach, request information, start a free trial, or make a purchase, we ask for information such as your name, email address, phone number, business name, billing and payment details, and account credentials. You may also provide similar information when you book a call with us, attend an event, or contact our support team. If you upload or enter information about other people (such as your students or clients), you are responsible for ensuring you have the authority and any necessary consent to do so and to allow us to process that information in line with this Privacy Policy.

From third parties. We may obtain information from marketing and advertising partners, affiliates, data vendors, public sources, and event partners. This can include your name, contact details, professional information, and publicly available content.

Automatically when you use the Platform. We collect information about how you interact with the Platform, including device and technical information (such as your IP address) and the actions you take on the Platform. We do not use analytics or advertising cookies, but a small number of strictly necessary cookies are set by our infrastructure providers (LeadConnector/HighLevel, Cloudflare, and Google reCAPTCHA) to keep the Platform secure and functioning.

3. How We Use the Information We Collect

We use the Personal Information we collect for the following purposes:

  • To provide and improve the Platform. We use information to deliver, personalize, maintain, and improve Eagle Coach, including network connectivity, usage measurement, diagnosing problems, security, product testing and development, and generating reports and updates.
  • To provide AI features. Some Eagle Coach features use artificial intelligence to enhance functionality (for example, drafting messages or surfacing insights). Our use of AI is designed to provide services directly to you. We do not use your Personal Information to train generalized, public AI models. Where we work with AI sub-processors, our instructions limit their use of your data to providing the specific feature you are using.
  • To send communications and reminders. We use your contact information to communicate with you about your account and the Platform, respond to support requests, send service and security notices, and — in line with your preferences — send marketing or informational materials. See Section 4 for important details about SMS and phone communications.
  • For customer support. To assist you with questions and issues relating to the Platform.
  • For business operations. To run our business, including accounting, billing, auditing, reconciliation, collections, and meeting contractual obligations.
  • To protect and secure the Platform. To monitor for and prevent fraud, abuse, and security threats.
  • For advertising and marketing. To deliver relevant content, verify eligibility for and extend offers, and measure the effectiveness of our marketing.
  • For analytics and statistics. To understand how the Platform is used so we can anticipate and respond to user needs and improve the overall experience.
  • For legal and compliance purposes. To comply with legal and regulatory obligations and to protect our legal rights.

Legal basis for our use. Certain laws (such as those in the European Economic Area (EEA), the United Kingdom (UK), and others) require a valid legal basis before we process your Personal Information. Depending on the context, we rely on: your consent; the need to perform a contract with you; a legal obligation; or our legitimate interests (such as administering, developing, and securing the Platform and conducting direct marketing) where those interests are not overridden by your rights. Where we rely on consent, you can withdraw it at any time (see Section 10).

4. SMS, Phone, and Email Communications

Because Eagle Coach is built to help coaches communicate with their students, communication consent is central to how the Platform works.

  • Communications you receive from us (RecProTech AI): We may send you account, transactional, and — with your permission — marketing messages by email, SMS, or phone. You can opt out of marketing messages at any time by following the unsubscribe instructions in the message, replying STOP to a text, or contacting us.
  • Communications sent through the Platform by our customers: When a coach or business uses Eagle Coach to text or email their own students and clients, that customer is responsible for obtaining the appropriate consent from their recipients and for complying with applicable communication laws (such as the TCPA, A2P 10DLC requirements, CAN-SPAM, the UK PECR, and the Australian Spam Act). We provide tools to manage consent and opt-outs, but the customer is the sender and the controller of those communications.
  • We do not sell or share your mobile phone number or your SMS opt-in consent with third parties for their own marketing purposes. Mobile opt-in consent is never shared with third parties except as needed to deliver the messaging service you have requested.

5. How We Share Your Information

We may disclose Personal Information to the following categories of recipients:

  • Service providers and sub-processors. We share information with vendors who help us operate the Platform, including hosting and infrastructure providers (notably HighLevel / LeadConnector, which provides the underlying platform that Eagle Coach is built on), payment processors, communication and messaging providers, analytics services, and customer support tools. Our contracts with these providers include terms designed to protect your information and limit its use to providing services to us.
  • Affiliates. We may share information with our corporate affiliates for purposes consistent with this Privacy Policy.
  • Partners. We may work with third parties for marketing, promotions, integrations, or affiliate referral programs. If you reach us through an affiliate referral, we may share limited information (such as your name, email, and plan) back to that partner.
  • Advertising and marketing partners. To deliver and measure advertising and marketing, subject to your choices and applicable law.
  • Connections you authorize. If you connect a third-party service to the Platform (for example, a calendar, payment, or social account), you are sharing information with that service under its own terms and privacy policy.
  • Business transfers. We may disclose Personal Information in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar transaction (including bankruptcy).
  • Legal and safety reasons. We may disclose information where required by law or where we have a good-faith belief it is necessary to comply with legal process, respond to lawful requests from authorities, or protect rights, safety, and property.
  • With your consent or at your direction. We may disclose information when you ask us to or consent to it.

Platform infrastructure. We use GoHighLevel / LeadConnector infrastructure to power the software. This means HighLevel Inc. and LeadConnector LLC act as a sub-processor that hosts and powers parts of the Platform on our behalf. Their handling of data is governed by their own agreements and the safeguards.

6. How We Protect Your Information

We maintain reasonable and appropriate administrative, technical, and organizational measures designed to protect your Personal Information against loss, misuse, and unauthorized access, alteration, or disclosure, and we require our vendors to apply comparable protections. You also play a role in keeping your data safe (for example, by protecting your account credentials). No system or transmission can be guaranteed to be 100% secure. If you believe your account or your interaction with us is no longer secure, please contact us immediately using the details in Section 14.

7. Data Retention

We retain your Personal Information only for as long as reasonably necessary to fulfill the purposes for which it was collected, including to satisfy legal, regulatory, tax, accounting, or reporting requirements, and as otherwise described in this Privacy Policy. We may keep information longer where there is a complaint or where we reasonably anticipate litigation. When information is no longer needed, we delete it or anonymize it. Where we anonymize information so it can no longer be linked to you, we may use it indefinitely.

8. Information From Children

The Platform is intended for businesses and is not directed to children. We do not knowingly collect Personal Information from children under 16. If we learn that we have collected such information, we will take steps to delete it. If you believe a child has provided us with Personal Information, please contact us using the details in Section 14.

9. Links to Other Websites and Services

The Platform may link to or integrate with third-party websites and services that we do not control. We are not responsible for the privacy or security practices of those third parties. The inclusion of a link does not imply our endorsement. We encourage you to review the privacy policies of any third-party services you use.

10. Your Rights and Choices

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your Personal Information, to object to or restrict certain processing, to withdraw consent, and to opt out of certain marketing. You can exercise these rights by contacting us using the details in Section 14. We may need to verify your identity before acting on a request, and we may retain certain information where required or permitted by law.

Important: If you are a student or client of one of our customers (rather than a direct Eagle Coach subscriber), your request should be directed to that coach or business, who is the controller of your information. We will assist them as their processor where appropriate.

European, UK, and Swiss Privacy Rights

If you are in the EEA, UK, or Switzerland, you may have rights under the GDPR, UK GDPR, or Swiss nFADP, including the rights of access, portability, correction, deletion, objection, restriction, and withdrawal of consent. You also have the right to lodge a complaint with your local data protection authority. The UK authority is the Information Commissioner's Office (ICO, www.ico.org.uk). Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.

U.S. State Privacy Rights

Residents of states with applicable privacy laws (including California, Colorado, Connecticut, Virginia, Texas, Utah, Oregon, and others) may have rights to access, correct, and delete their Personal Information, to opt out of the "sale," "sharing," or use of Personal Information for targeted advertising, to appeal a denied request, and to non-discrimination for exercising these rights. We do not sell your Personal Information for money. To the extent any disclosure for advertising is treated as a "sale" or "share" under these laws, you may opt out using the details in Section 14 or any "Do Not Sell or Share My Information" control on our website. You may designate an authorized agent to make a request on your behalf.

Australian Privacy Rights

If you are an Australian resident, you have rights under the Australian Privacy Act, including to access and request correction of your Personal Information. We will generally respond within 30 days. If you are dissatisfied with our response, you may contact the Office of the Australian Information Commissioner (www.oaic.gov.au).

Canadian Privacy Rights

If you are a Canadian resident, you have rights under PIPEDA, including to access and request correction of your Personal Information and to withdraw consent. We will generally respond within 30 days and will explain any decision to deny a request.

11. Do Not Track

Some browsers offer a "Do Not Track" (DNT) signal. At this time, the Platform does not respond to DNT signals.

12. International Data Transfers

RecProTech AI and its service providers may process and store your Personal Information in countries other than the one in which you live, including the United States and other locations where our vendors operate. Where we transfer Personal Information across borders, we do so in accordance with applicable law and take steps to ensure your information receives an appropriate level of protection (for example, through recognized transfer mechanisms or contractual safeguards).

13. Updates to This Privacy Policy

We may update this Privacy Policy from time to time at our discretion. We will notify you of material changes where required by law, and the "Last Updated" date above reflects the most recent revision. Your continued use of the Platform after changes take effect constitutes acceptance of the updated Privacy Policy, so please review it periodically.
